Reuters Events operates globally with a wide portfolio of events and recognises the evolving impact on our industry from COVID-19. To ensure we uphold the highest standards of health, safety, and security, our first priority will be to ensure our events run in accordance with official government guidance and regulations. Additionally, Reuters Events will be following the four cornerstones of the All Secure Standards: Physical Distancing, Cleaning & Hygiene, Protect & Detect and Communication. These industry driven guidelines developed by leading industry associations including the AEO (Association of Event Organisers), UFI (Global Association of the Exhibition Industry) & SISO (Society of Independent Show Organizers), offer best practices to support the safe delivery of all types of events across the world. They will underpin the health and safety plans for all events in our portfolio.

For this reason, Reuters Events will require all attendees, exhibitors and sponsors, staff, and vendors to either show proof of one of the following -

  • CDC issued COVID-19 Vaccination Record Card. It can be the original paper card, a paper copy, a photo stored on your phone or in an app. Photo ID will be required to confirm the identity and should match the name on the card.
  • Rapid antigen tests or PCR negative test results text or e-mail received within 72 hours prior to attending the event.

Reuters Events All Secure Pledges

The ‘new normal’ for event delivery is evolving to reflect government guidance and new societal expectations across the globe. What will never change is our commitment to upholding a safe environment for Reuters Events customers. Our All Secure Pledges outline the enhanced measures we will use to give our attendees the confidence that their health and safety is our number one priority.

Physical Distancing

Whilst we are excited to be back to meeting in person, in the interest of keeping you all safe we do have some measures in place to limit close contact.

  • Registration:

    A contactless registration system will be in place to allow for easy access and to encourage a steady flow into the event space.
  • Crowd Density:

    We are working to adjusted venue capacities and ensuring that social distancing is in line with government regulations and health authority guidance throughout all conference, exhibition and catering spaces. Some of the measures we have taken to ensure this is upheld are one way systems, extended entry times, wider aisles and the use of clear onsite signage.
  • Physical Contact:

    To respect individuals personal space we advise against conventional ways of greeting peers that encourage being in close proximity, such as handshakes and embraces. We are also limiting the need for printed materials such as show guides and business cards and are encouraging digital alternatives such as virtual exhibition booths on our event app, where such information can be accessed.

Protect & Detect

All events will follow relevant government regulations and health authority guidance, however some additional measures will be in place for enhanced protection.

  • Masks:

    Given the increase in Covid 19 cases due to the delta variant, it will be mandatory to wear a mask onsite. This will not apply when seated in catering areas consuming food and beverage or on stage when speaking. Attendees are encouraged to bring along their own mask however masks will be available onsite, upon request. If you require an exemption on medical or religious grounds, then please contact us directly at enquiries@reutersevents.com.
  • First Aid:

    Attendees are reminded not to attend if displaying any Covid 19 symptoms. Any potential onsite Covid 19 cases will be handled following health authority guidance and all events will have access to a qualified first aider.
  • Screening:

    Advanced screening will be used where necessary to ensure the safety of all participants. This will be communicated in advance.
  • Contact Tracing:

    Should it be necessary, Reuters Events will work with local authorities to trace and contact participants, subject to local privacy regulations.

Cleaning & Hygiene

We are committed to hosting our events at venues across the world that have a robust and up to date approach to venue cleaning and hygiene and uphold the highest standards of food safety.

  • Hand Hygiene:

    Please carry your own hand sanitiser and apply when you enter and leave exhibitor stands, features, catering areas and workshops. We will have a limited supply available on-site in high traffic areas.
  • Enhanced Venue Cleaning:

    Along with the NRG Park, we are conducting a thorough, enhanced, cleaning regime of all features and public areas prior to show opening and during show open periods. We have asked exhibitors to ensure a deeper clean before, during and after the show opens each day, paying particular attention to high traffic touchpoints.

Communication

We understand that as we transition back into holding events in person, there will be concerns and questions you would like addressed. Putting the minds of our customers at ease and showing our commitment to keeping you safe is high priority. We are committed to providing up to date communications pre, during and post event.

  • Pre-Event:

    Keep your eyes on the event website, event app, sponsor/exhibitor portals and your inbox as we will be bringing you the latest updates via these channels. Please view the floor plan, exhibitor list and agenda ahead of coming onsite so that you can plan your time at the event. We would advise that you book your meetings in advance through the app.
  • Onsite:

    Please listen carefully to any public addresses for instructions and watch out for event signage to see what we are doing to keep you safe onsite. Please allow our onsite host and security teams to guide you safely through the event.
  • Post Event:

    Please ensure you give accurate information throughout the registration process so that the relevant local authorities can contact you if there’s a need to update you regarding track and trace.

Frequently Asked Questions

We’re committed to doing everything we can to ensure a safe and successful event for all of our attendees, exhibitors and sponsors, staff, and vendors. Given the increase in cases locally due to the Covid-19 Delta Variant and in line with industry standards, we made the decision to require that event participants provide proof of a negative COVID-19 test result or a full COVID-19 vaccination. We did this with the full support of the Mayor of Houston and Visit Houston.

We are accepting all 3 approved and authorized vaccines in the United States - https://www.cdc.gov/coronavirus/2019-ncov/vaccines/different-vaccines.html. Please note the final dose of the vaccine should be at least 2 weeks prior to the event. We will accept 2 shots of the Pfizer and Moderna vaccines and 1 shot of the Johnson & Johnson vaccine

Any attendees who don’t present a CDC issued COVID-19 Vaccination Record Card will be asked to provide proof of a negative COVID-19 test. In order to help facilitate this we will have rapid testing available onsite, however, we advise that you skip the lines and take a take a test within 72-hours prior to attending the event and have your negative result ready as we protect our industry peers.

Please familiarize yourself with our entry requirements to ensure the safety of all participants and come prepared. For entry to the event, Reuters Events will require all attendees, exhibitors and sponsors, staff, and vendors to either show proof of one of the following

  • CDC issued COVID-19 Vaccination Record Card. It can be the original paper card, a paper copy, a photo stored on your phone or in an app. Photo ID will be required to confirm your identity and should match the name on the card. Proof of full vaccination requires the last vaccination dose to be administered at least two weeks prior to the event date. If your dose is from a vaccine series that requires two doses, full vaccination status requirement would be met only 14 days after the second dose.
  • Rapid Antigen Lateral Flow or PCR negative test results text, pass or e-mail. Test should have been taken within 72 hours prior to attending the event. Photo ID will be required to confirm your identity and should match the name on the proof of a negative.

Unfortunately not. We will need to verify your photo ID against the test so if you are using a Rapid Antigen test, you will need to register the negative test with the approved app. E.g. BinaxNow Home links to the Navica App. Please follow the test instructions. Alternatively, pick up a Rapid Antigen Lateral Flow test onsite. Please leave additional time for registration, if choosing this option.

Yes. We review the number of Covid 19 cases on a daily basis and monitor the WHO, Government & State guidelines for any updates. We will always keep all stakeholders abreast of any changes to our plans for the event or the onsite experience should this be required

You can expect to see that health and safety is a priority, and that a range of measures are in place to ensure everyone involved is able to enjoy a safe, enjoyable, and well organised event experience.

Reuters Events will follow government rules and regulations and health authority guidance for the location the event is taking place in. In addition, we will run in accordance with any venue specific requirements and following our All Secure Pledges that relate to Physical Distancing, Cleaning & Hygiene, Protect & Detect and Communications.

The Reuters Events All Secure Pledges are based on a set of event industry best practice guidelines, called All Secure. Developed by leading industry associations including the AEO, UFI & SISO, these guidelines offer best practices to support the safe delivery of all types of events across the world. The Reuters Events All Secure Pledges are the way these industry-wide All Secure guidelines are being applied to our events. They will underpin the health and safety plans for all events in our portfolio.

The main symptoms of Covid 19 are:

  • High temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature)
  • New, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual)
  • Loss or change to your sense of smell or taste – this means you've noticed you cannot smell or taste anything, or things smell or taste different to normal

If you are feeling unwell prior to departing for the event and showing symptoms of Covid 19, please stay home and get tested.

All attendees will have access to a qualified First Aider and a quarantine area. Alternatively, please notify someone from the Reuters Events Team and quarantine in your room immediately until you can arrange a test.

If someone is unwilling to comply, or provide information on a medical or religious exemption, we reserve the right to refuse entry into the event.

Several steps have been taken to facilitate social distancing during our event. Examples of measures used to ensure this are widened aisles, one-way systems, extended entry times, larger catering & networking zones, onsite signage and floor markings.

For entry to the event, Reuters Events will require all attendees, exhibitors and sponsors, staff, and vendors to either show proof of one of the following:  

  • CDC issued COVID-19 Vaccination Record Card. It can be the original paper card, a paper copy, a photo stored on your phone or in an app. Photo ID will be required to confirm the identity and should match the name on the card.  
  • Lateral flow Rapid Antigen or PCR negative test results text or e-mail received within 72 hours prior to attending the event.  

A PCR or Lateral Flow Rapid Antigen COVID-19 test will be accepted - please be sure to bring printed proof of your negative test result, dated and time-stamped.

Proof of full vaccination requires the last vaccination dose to be administered at least two weeks prior to the event date. If your dose is from a vaccine series that requires two doses, full vaccination status requirement would be met only 14 days after the second dose. For those guests who have only received the first of two doses, proof of a negative COVID-19 diagnostic test will be required. The COVID-19 diagnostic test should be taken within 72 hours prior to the event date.

Information regarding the nearest hospital will be available at the Reuters Events registration desk.

There will not be a doctor onsite at our events. The event venue will be able to call a doctor to the premises if needed.

Reuters Events is working closely with venue partners to ensure the highest standard of food safety. All food and beverage will be served to you by attendants. If any queuing is anticipated, physical distancing will be maintained using floor markings and signage.

Yes. Please ensure that all details of the replacement attendee are given to our Client Services Team ahead of the event. Failure to do so will mean that they will not be on our registration system and therefore will not gain access onsite.
